Canajoharie PTA Minutes—June 13, 2006

  1. Greetings
    1. Co-President, Melissa Balk, called the meeting to order at 7 pm with nine members in attendance. The pledge was recited.
  2. Secretary’s Report
    1. The secretary’s report was read and accepted. It was noted that Melissa will take care of getting an award to Mrs. Davidson and contact Cuyle to have a picture taken and Mrs. Nyahay will have the request for mulch at the September meeting.
  3. Treasurer’s Report
    1. The updated Treasurer’s report was reviewed with updates and accepted.
  4. Old Business
    1. September Fundraiser: The fundraising committee will meet August 7th at 7 pm to begin planning for the September fundraiser. Mrs. Hammons offered to provide ten students to assist with the delivery in October.
    2. Notes of Thanks: There were many notes of thanks from students and teacher’s who received funding from the PTA for the programs they attended and items they requested. There was an update in the thank you from BOCES for the donation for shipping the books to Louisiana. A tractor trailer was loaded and sent to Louisiana with the books which will go to libraries in the hurricane stricken areas.
    3. Box Tops: Mrs. Monk reported she is still collecting box tops. Any boxtops received through the end of this school year will be submitted in the next school year.
  5. New Business
    1. PTA Summer Workshop: The summer regional PTA conference will be held in Utica on August 11th thru August 13th. Bronwyn will be attending that conference.
    2. 2005 Tax Exempt Form: Melissa received a 2005 tax exempt form from the IRS. Ellen will contact the regional PTA to determine if this form needs to be completed.
    3. Movie Night Popcorn: Tara purchased the popcorn for the movie nights scheduled for the next school year. Melissa requested a check for $18 to reimburse Tara for the popcorn.
    4. 2006-2007 Schedule: The tentative schedule for the PTA movie nights are October 20th, November 17th and December 15th at 7 pm in the Great Room. The tentative schedule for PTA meeting are September 12th, October 10th, November 14th, December 12th, January 9th, February 13th, March 13th, April 10th, May 8th, and June 12th at 7pm in the East Hill Library. The tentative schedule for the Enrichment committee is October 10th, November 14th, February 13th, and March 13th at 6:30pm in the East Hill Library. The PARP program is schedule to run again in March. The book fair committee will look in to providing the books for this program from the proceeds earned.
    5. Ellison Press: Melissa requested funding of up to $50 for Tara to purchase the hot air balloon Ellison press needed for the membership drive. The request was approved.
    6. Welcome Packages: It was suggested the PTA put together welcome packets for new families entering the school district. The packets will include a PTA clip, magnetic school phone list, PTA brochure and PTA membership form. Bronwyn volunteered to work on getting 10 packets ready for the new school year.
    7. Database: It was suggested that in an effort to conserve paper a system should be put in place to determine the youngest child in families with more than one child and send flyers home only with that child. An example given was the school lunch menu. Mrs. Nyahay will look at the database over the summer to see if there is a way to use that to assist with this process.
    8. Other Items:
      1. There was a request from Mrs. Dopp for $190 for the 5th grade for their end of the year breakfast from McDonald’s. The request was approved.
      2. Mr. Strait will be retiring as Middle School Principal at the end of this school year. He thanked the PTA for their support throughout the year’s. His support of the PTA has also been greatly appreciated and he will be missed.
      3. Bronwyn suggested we take money out of the sunshine fund to thank Jill in the cafeteria for supplying the PTA meetings with coffee throughout the year. Bronwyn will purchase the gift for Jill.
  6. The meeting was adjourned at 7:30 pm. The next meeting is scheduled for August 8th, 2006.
